For front desk teams and patient coordinators

Stop chasing. See who is waiting on what.

You prepare consultations, chase forms, answer the phone during treatments and pick up replies to reminder texts. ClinicJourney is designed to show you what each patient is waiting for, and who owns every reply.

Two weeks later, Sam at the front desk welcomes Jordan back for her review visit.

What we heard.

Drawn from public reviews, job descriptions and practitioner writing about aesthetic clinics. Not quotes from ClinicJourney users.

  1. Chasing questionnaires and consent forms.

Patients cannot open the link, or forget, and you find out on the morning of the visit.

  2. The phone rings during treatments.

Enquiries arrive when nobody is free. Instagram messages arrive at night.

  3. Replies with no owner.

A patient answers a reminder with a question. It is unclear who should answer, or whether someone already did.

One list of what needs a person today.

Forms not returned, consent not signed, replies not answered, review visits not booked. Each item shows the patient, the step and who it is waiting on, so you know what to do next and what to hand on.

What you stop doing.

  • Print questionnaires for patients to fill in at the desk.
  • Check three inboxes for patient replies.
  • Ask the practitioner whether they already answered.
  • Re-type information the patient already gave.

Questions you will ask us.

Answered as honestly as we can today.

What happens if a patient cannot use the link?

The design lets the desk complete a step with the patient in clinic, and records that it was done that way. Details are to be confirmed.

Can patients reply to messages?

Yes, that is central to the design: replies come back into the patient’s thread and are assigned to a person. Which channels are supported is to be confirmed.

Will it replace our booking system?

Booking is part of ClinicJourney’s intended scope. Whether it should replace what you use today is something to decide together in early access.
